Getting started
Your account goes from signup to a working inbox in a few minutes. Here is exactly what happens:
1 · Choose a plan and register
Pick a plan on the pricing page. On the registration form, enter your organization name, the email domain you own (e.g. yourcompany.com), the account owner's name and email, and how many mailboxes you need.
2 · Pay securely with Kashier
You are taken to Kashier's secure checkout. Prices are shown in USD and charged in Egyptian pounds at the day's rate. Card details never touch our servers.
3 · Watch for the invitation email
Within a few minutes of payment, the account owner receives an email with a secure link. If it hasn't arrived in 15 minutes, check the spam folder — then contact support.
4 · Set your password and two-factor code
The link takes you to a page where you choose your password and scan a QR code with an authenticator app (Google Authenticator, Authy, 1Password…). Two-factor is required — it protects every mailbox in your organization.
5 · Follow the setup checklist
Your portal dashboard shows a checklist: set up your domain, publish its DNS records, then create mailboxes. Each step below explains the details.
Your domain & DNS
Email for your own domain needs a few DNS records published wherever your domain is managed (GoDaddy, Namecheap, Cloudflare…). The portal's Domain page lists each record ready to copy.
What the records do
MX tells the internet where your mail is delivered. SPF and DKIM prove messages from your domain are genuine so they land in inboxes, not spam. DMARC tells other providers what to do with fakes.
How to add them
Sign in at your domain provider, open its DNS management page, and add each record exactly as shown in the portal — type, name and value. Copy-paste to avoid typos; DKIM values are long and must be exact.
The status badges
“Live” means we can see the record. “Not found yet” usually just means DNS is still propagating — this can take from minutes up to 24–48 hours depending on your provider. We re-check every time you open the page.
⚠️ The mistake almost everyone makes: the Name field
Most providers — Cloudflare, GoDaddy, Namecheap — automatically add your domain to whatever you type in the Name field. So if the portal shows _dmarc.yourcompany.com and you paste all of it, you end up with _dmarc.yourcompany.com.yourcompany.com, and the record will never verify. Paste only the part BEFORE your domain (e.g. _dmarc, or v1-rsa-20260820._domainkey). For a record whose name IS your bare domain, enter @ instead.
Cloudflare
DNS → Records → Add record. Choose the type, put only the sub-part in Name (or @ for the domain itself), paste the value with the portal's Copy button. Important: set Proxy status to DNS only (grey cloud) — an orange cloud breaks mail. For the MX record, Cloudflare asks for the priority separately: enter 10 and mx1.zyroxi.com as the server.
GoDaddy
My Products → your domain → DNS → Add. Same rule for Name: only the sub-part, or @ for the domain itself. GoDaddy often keeps its own parking MX records — delete those, or mail will still go to the old place.
Namecheap
Domain List → Manage → Advanced DNS → Add New Record. Use @ for the domain itself. MX records live under “Mail Settings” — switch it to Custom MX first, otherwise the MX box is not editable.
cPanel / your web host
Zone Editor → Manage → Add Record. cPanel usually wants the FULL record name including your domain, and often adds a trailing dot — that is normal here. If your host manages DNS elsewhere, make the change wherever your nameservers point, not in cPanel.
Keep the old records until you're ready
Moving from another provider? Publish SPF/DKIM early, but only change the MX record when you're ready to switch delivery — see “Import your old mail” below for the safe order.
Split delivery: keep some mailboxes on your existing server
You don't have to move everyone on one day. In Domains → your domain → Existing mail server, enter your old server's address: anyone with a mailbox here receives mail here, and everyone else is passed on to the old server untouched. Create mailboxes as each person is ready, and clear the field once the last one has moved. Test existing server checks the old server will still accept mail before you switch your MX record.
Mailboxes & your team
Once your domain shows as active, create a mailbox for each address you need — info@, sales@, or personal ones for your team.
Creating a mailbox
In the portal, open Mailboxes → Add mailbox. Enter the part before the @ and an optional display name. The mailbox is ready on the mail server within moments.
The password is shown exactly once
When a mailbox is created, its password appears one time. We never store it and cannot show it again — copy it immediately and pass it to the mailbox's user securely. If it's lost, use Reset password to generate a new one.
Changing a mailbox password yourself
Mailbox users can change their own password without asking an admin: sign in at mail.zyroxi.com, then open Settings → Security → Change password and enter the current password followed by the new one. The same screen also offers two-factor authentication and app passwords for mail apps.
Let them reset a forgotten password themselves
Open Mailboxes → Recovery address and give the mailbox an address outside Zyroxi — a personal one usually. Its owner can then use “Forgot password?” on the webmail sign-in page and a reset link goes there, not to the mailbox they're locked out of. The link works once and expires after an hour. Leave the field empty to switch self-service recovery off.
Inviting portal teammates
The Team page lets owners and admins invite colleagues to the management portal — as an Admin (can manage mailboxes and the team) or a Member. This is separate from mailboxes: a portal login manages the account, a mailbox sends and receives mail.
Need more mailboxes?
Your plan includes a mailbox limit. When you reach it, the Plan page shows upgrade options — the new limit applies as soon as the upgrade payment completes.

Every mailbox works in our webmail at mail.zyroxi.com and in any standard mail app.
Signing in to webmail
Go to mail.zyroxi.com and sign in with the full email address and the mailbox password.
Tick “Remember me” to stay signed in
On your own device, tick the Remember me box when signing in — otherwise the session lasts only until you refresh or close the browser, and you'll be asked to sign in again. That's intentional protection for shared computers.
Forwarding a copy to another address
In webmail, open Settings → Filters → Add filter and choose “Forward to”. Enter the destination address and save. A copy stays in your own inbox by default — untick “Keep a copy” only if you want mail to leave without being stored here.
Mail app settings (Outlook, Apple Mail, Thunderbird…)
Incoming IMAP: mx1.zyroxi.com, port 993, SSL/TLS. Outgoing SMTP: mx1.zyroxi.com, port 465 (SSL) or 587 (STARTTLS). Username is the full email address; password is the mailbox password. Contacts and calendars sync via CardDAV/CalDAV on the same host.
Import your old mail
Moving from another provider? Bring your entire history — every folder, message, read state and date — with the built-in import. Nothing is deleted from the old server.
1 · Start the import from the portal
On the Mailboxes page, choose Import old mail on the mailbox. Pick your old provider (Gmail, Microsoft 365, cPanel or other), then enter the old address and password, plus this mailbox's Zyroxi password — we never store either; they're used once for the copy and discarded.
Gmail needs an app password
Google blocks normal passwords for mail tools. In your Google Account → Security → 2-Step Verification → App passwords, create one and use it as the old password.
2 · Watch the status
The mailbox row shows Importing… and then Imported with the message count. Big mailboxes can take hours — you can use webmail normally meanwhile.
3 · Switch your MX, then run the import once more
The safe order: import first while mail still flows to the old provider, then change the MX record to mx1.zyroxi.com, then run Import old mail once more. The second run only copies messages that arrived at the old server during the switch — nothing is ever duplicated.
FAQ & troubleshooting
The fastest answers to what people ask most.
My payment didn't complete — was I charged?
No. If checkout shows “Payment not completed”, no charge was made. Your registration details are saved — just choose your plan and try again, or contact support and we'll help.
I paid but the invitation email hasn't arrived.
It usually arrives within minutes. Check the spam folder first, and confirm the owner email you entered is correct. Still nothing after 15 minutes? Email support@zyroxi.com with your payment receipt and we'll resend it right away.
My DNS records still say “Not found yet”.
DNS changes take time to spread — usually under an hour, sometimes up to 24–48 hours. Double-check each record was pasted exactly (no extra spaces, full DKIM value), then check back later; the page re-verifies on every visit.
Webmail says “Your session has expired” when I refresh.
You signed in without ticking Remember me, so the session ends when the page reloads — by design for shared computers. Sign in again and tick Remember me; on your own device you'll then stay signed in.
My mail import failed. What now?
The most common cause is a wrong old-server password — for Gmail it must be an app password, not your normal one. Fix the credentials and run the import again; re-running is always safe and never duplicates messages. If it keeps failing, contact support with the mailbox address.
Can I move my team over a few mailboxes at a time?
Yes — that's split delivery, and it's included on every plan. In Domains → your domain → Existing mail server, enter your old server's address before you change your MX record. Mail for the mailboxes you have created here is delivered here; everything else is passed straight through to the old server untouched. Create mailboxes as each person is ready, and clear the field once the last one has moved.
How do I change my mailbox password?
If you know the current one, do it yourself: sign in at mail.zyroxi.com and open Settings → Security → Change password. No admin needed.
I lost a mailbox password.
Passwords are shown only once and never stored, so we can't recover the old one — but any portal owner or admin can open Mailboxes → Reset password to generate a new one instantly. The old password stops working only when the new one is issued.
Are my messages reaching inboxes, not spam?
Once all your DNS records show Live (especially SPF and DKIM), your mail is fully authenticated — the strongest deliverability foundation there is. If a recipient still finds you in spam early on, ask them to mark the message “Not spam”; reputation builds quickly with normal sending.
I'm locked out of my mailbox and my administrator isn't around.
If a recovery address was set for your mailbox, use “Forgot password?” on the webmail sign-in page — the reset link goes to that address rather than to the mailbox you can't open. If nothing arrives, no recovery address is on file and only an owner or admin can reset it from Mailboxes → Reset password.
Can the portal be used in another language?
Yes — the management portal is available in English, Arabic and Russian, and Arabic lays the whole interface out right-to-left. It follows your browser's language on your first visit; to change it, use the language buttons in the top bar. Your choice is remembered on your account, so it follows you to your phone.
Can several people share one portal account?
Don't share logins — invite each person from the Team page instead. Everyone gets their own password and two-factor code, and you can remove access individually when someone leaves.
